“It’s so easy and saves me a lot of time”

All Zofie Sandman needs to do is take a photo of her paper receipts post-purchase. The rest takes care of itself. "Now I can prepare my expense reports in a couple of minutes. In the past, it could take hours,” she says.

Zofie Sandman picks up her mobile phone, opens the Eurocard app and takes a picture of another paper receipt with a practiced hand. As Establishment and Property Manager at Teser Group (formerly Eatery Sverige Group), she makes business trips every month and accumulates numerous expense receipts.

“Yes, there are a lot of receipts to be reported, such as for car parks, business lunches, train tickets and hotel stays. Of course, some receipts are already digital, but most are still paper receipts,” she says.

Previously, receipt reporting was something that Zofie Sandman found both laborious and messy.

Time-consuming before

“Towards the end of the month I had piles of paper receipts that needed to be sorted through and taped to a printed excel spreadsheet, along with handwritten comments about what the expenses were for. “It was time-consuming, and there was a risk of receipts getting lost or blurred,” she says.

That all changed in early 2023 when she started using the Eurocard corporate card and the accompanying app. It only took a few minutes to link the card to the app and learn how to navigate within it. Her expense reporting then became much simpler.

“As soon as I get a new paper receipt, I take a photo using the scanner function in the app. It takes 20 seconds at most. You can also use an ordinary mobile phone camera, but I think the app takes better pictures of receipts.

Now easier in many ways

The photographed receipt is immediately and automatically matched with the correct transaction in the app. At the same time, both the purchase and the receipt are recorded in the external accounting software that the company has integrated with the Eurocard service.

“At the end of the month, I receive an email saying that I have an expense report. The expense report shows all the transactions, together with the related receipts. After checking that everything is in order, I forward the report to my manager for final approval, and that’s it!

Zofie Sandman sees nothing but advantages for companies in digitising their paper receipts.

“I save a lot of time, as does my manager and our finance department, plus we minimise the risk of receipts getting lost. This makes things easier for us at every level,” she says.
